Privacy Policy

This Privacy Policy explains how BillerFirms (“BillerFirms”, “we”, “us” or “our”) collects, uses, shares and protects information when you visit our website, create an account, list a company, submit a request, post or apply for a job, or otherwise use our services (together, the “Services”).

By using the Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

1. Who we are

BillerFirms is an online B2B directory and marketplace that connects healthcare practices with medical billing, coding, revenue cycle management and related service companies, and connects billing professionals with job opportunities. You can reach us at any time through our Contact Us page.

2. Information we collect

2.1 Information you give us

  • Account information: name, email address, password (stored in encrypted form), account type (practice/provider, billing company or job seeker) and, if you choose, a phone number.
  • Company listing information: company name, logo, website, business email and phone number, address, services, specialties, software, pricing, team size, social media links and descriptions.
  • Practice requests (“Get Matched” and quote requests): your name, email, phone number, practice name, medical specialty, state, number of providers, approximate monthly collections or claim volume, current billing setup, software, budget, timeline and any message you write.
  • Reviews: the content and ratings of your review and, if you verify a review, your NPI number or a practice email address used for verification.
  • Job board information: CVs/résumés, work history, skills, cover letters and applications, and job postings submitted by employers.
  • Lead auction information: bids, pricing offers and messages submitted by billing companies.
  • Communications: messages you send through our contact forms or by email, and newsletter subscriptions.

2.2 Information collected automatically

  • Usage and device data: IP address, browser type, device type, operating system, referring pages, pages viewed, time spent and links clicked (for example, clicks on a company's “Visit website” or phone button).
  • Cookies and similar technologies: small files used to keep you signed in, remember preferences, measure traffic and, where applicable, show advertising. See section 7.

2.3 Information from public and third-party sources

Some company listings are created by our team using publicly available business information, such as a company's own website, public business directories or public social media pages. When a review is verified by NPI, we may check the number against the public NPPES (National Plan and Provider Enumeration System) registry.

2.4 Health information

BillerFirms is not a healthcare provider, health plan or healthcare clearinghouse, and we do not need or request protected health information (PHI). Please do not submit patient names, medical records or any other patient health information through the Services. If such information is submitted to us, we will delete it when we become aware of it.

3. How we use information

  • To create and manage accounts and to provide, operate and improve the Services.
  • To publish and maintain company profiles, reviews, job postings and the directory.
  • To review “Get Matched” requests and share them with the billing companies selected for that request (see section 4).
  • To run lead auctions, process bids and notify bidders of results.
  • To verify reviews and listing ownership and to prevent fraud, spam and abuse.
  • To send service emails, such as account confirmations, request updates, review invitations and performance reports.
  • To send newsletters or updates you have subscribed to (you can unsubscribe at any time).
  • To measure traffic and performance, including reports for companies about profile views and website clicks.
  • To display advertising and to keep our Services free for practices and job seekers.
  • To comply with legal obligations and to enforce our Terms & Conditions.

4. How we share information

We do not sell your personal information, and we do not share a practice's, provider's or company's personal details with third parties without permission. We share information only in the following situations:

  • Public profile content. Company listings, reviews (with the reviewer's chosen display name) and job postings are public by design.
  • Get Matched and quote requests. When a practice submits a request, it asks us to connect it with billing companies. By submitting the request, the practice gives us permission to share its request details and contact information with the billing companies that our team selects for that request. Those companies may contact the practice directly.
  • Lead auctions. Bidders see only non-identifying details (such as specialty, state, approximate volume and timeline). A practice's name and contact details are released only to the companies selected for that request after the bid is completed.
  • Job applications. When you apply for a job, your application and CV are shared with the employer that posted the job.
  • Service providers. Trusted vendors who help us run the Services (for example, web hosting, email delivery, analytics and security). They may use information only to provide services to us.
  • Legal reasons. If required by law, regulation, legal process or a government request, or to protect the rights, property or safety of BillerFirms, our users or others.
  • Business transfers. If BillerFirms is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.

5. Company listings created from public information

To give practices a complete view of the market, some company profiles are created by our team from publicly available business information. These listings contain business information only, such as company name, website, business phone number, services and location.

If you represent a company and do not want to be listed, or want information corrected, please contact us through our Contact Us form and we will update or remove the listing. You can also claim the listing for free to manage it yourself.

6. Google Analytics and measurement

We use Google Analytics and Google Tag Manager to understand how visitors use our website (for example, which pages are visited and which links are clicked). These tools use cookies and collect information such as your IP address (which may be shortened), device and browser information and pages visited. You can learn how Google uses this data at policies.google.com/technologies/partner-sites and opt out with the Google Analytics opt-out browser add-on.

When we send visitors to a company's website, the link may include UTM tracking parameters (for example, utm_source=billerfirms.com) so the company can see in its own analytics that the visit came from BillerFirms. These parameters do not contain your personal information.

7. Cookies and advertising

We use the following types of cookies:

  • Essential cookies, required to sign in, keep your session secure and remember choices (for example, a dismissed announcement).
  • Analytics cookies, help us measure and improve the Services.
  • Advertising cookies, used by advertising partners to show and measure ads.

7.1 Google AdSense and third-party advertising

We may display advertisements served by third parties, including Google AdSense. In particular:

  • Third-party vendors, including Google, use cookies to serve ads based on a user's prior visits to this website or other websites.
  • Google's use of advertising cookies enables it and its partners to serve ads to you based on your visit to our site and/or other sites on the Internet.
  • You may opt out of personalized advertising by visiting Google Ads Settings. You can also opt out of a third-party vendor's use of cookies for personalized advertising by visiting www.aboutads.info/choices or, in Europe, www.youronlinechoices.eu.
  • Learn more about how Google uses information from sites that use its services at policies.google.com/technologies/ads.

If personalized ads are disabled, you may still see non-personalized ads based on general factors such as the content of the page you are viewing.

7.2 Managing cookies

Most browsers let you block or delete cookies in their settings. If you block essential cookies, some parts of the Services (such as signing in) may not work.

7.3 Do Not Track

Some browsers send a “Do Not Track” signal. Because there is no common standard for these signals, our Services do not currently respond to them. You can still manage cookies and advertising preferences as described above.

8. Data retention

We keep personal information only as long as needed for the purposes described in this policy, including to provide the Services, resolve disputes, prevent fraud and meet legal obligations. For example:

  • Account information is kept while your account is active and deleted or anonymized within a reasonable time after you ask us to close it.
  • Closed or expired job postings are removed automatically. Applications may be kept for a limited period so employers can complete their hiring.
  • Get Matched requests are kept so we can follow up and improve matching, unless you ask us to delete them.

9. How we protect information

We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), hashed passwords and access controls. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security. Please use a strong, unique password and keep it confidential.

10. Your choices and rights

  • Access and update: you can view and edit most account and profile information in your dashboard.
  • Delete: you can ask us to delete your account, a listing, a review or a request.
  • Marketing emails: you can unsubscribe using the link in any newsletter.
  • Cookies and ads: see section 7.

10.1 California residents (CCPA/CPRA)

If you live in California, you have the right to know what personal information we collect, use and disclose; to request deletion or correction; to opt out of the “sale” or “sharing” of personal information; and not to be discriminated against for exercising these rights. We do not sell personal information. To the extent advertising cookies are considered “sharing” for cross-context behavioral advertising, you can opt out as described in section 7.

10.2 Visitors from the EEA, UK and Switzerland (GDPR)

Our legal bases for processing are: performing a contract with you (for example, providing your account), our legitimate interests (operating and improving a business directory, preventing fraud), your consent (for example, certain cookies and newsletters) and legal obligations. You may request access, correction, deletion, restriction, portability or object to processing, and you may withdraw consent at any time. You also have the right to complain to your local data protection authority.

To exercise any of these rights, please contact us through our Contact Us page. We may need to verify your identity before responding.

11. Children's privacy

The Services are intended for businesses and professionals. They are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. International users

The Services are focused on the United States healthcare market but can be accessed worldwide. Your information may be processed in countries other than your own, which may have different data protection laws. We take reasonable steps to protect information wherever it is processed.

13. Third-party websites

Our Services link to websites operated by billing companies, employers and other third parties. We are not responsible for the privacy practices of those websites. Please read their privacy policies before sharing information with them.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page and, for significant changes, we may provide additional notice. Your continued use of the Services after an update means you accept the revised policy.

15. Contact us

If you have questions about this Privacy Policy or how we handle your information, or if you want to exercise your privacy rights, please contact us through our Contact Us page.
