Terms & Conditions

These Terms & Conditions (the “Terms”) govern your access to and use of the BillerFirms website and all related services, features, tools and content (together, the “Services”), operated by BillerFirms (“BillerFirms”, “we”, “us” or “our”).

Please read these Terms carefully. By accessing or using the Services, creating an account, listing a company, submitting a request, posting a review, bidding on a lead or applying for a job, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, you must not use the Services.

1. Who may use the Services

  • You must be at least 18 years old and able to form a binding contract.
  • If you use the Services on behalf of a practice, company or other organization, you confirm that you are authorized to act for that organization and that it accepts these Terms.
  • The Services are intended for business and professional use.

2. What BillerFirms is, and what it is not

BillerFirms is an online directory and marketplace that helps healthcare practices discover and compare medical billing, coding, revenue cycle management and related companies (“Vendors”), and helps billing professionals find jobs.

  • BillerFirms is not a billing company, healthcare provider, employer, staffing agency, broker, law firm or financial adviser.
  • BillerFirms is not a party to any agreement between a practice and a Vendor, or between an employer and a job seeker. Any contract, payment, service or employment arrangement is solely between those parties.
  • Information on the Services is provided for general information only. It is not medical, legal, tax, coding-compliance or financial advice. Cost estimates from our calculator are approximations, not quotes.
  • You are responsible for doing your own due diligence before hiring a Vendor or accepting a job, including checking references, licenses, insurance, security practices and contract terms.

3. Accounts

  • You must provide accurate, current and complete information and keep it up to date.
  • You are responsible for all activity under your account and for keeping your password confidential. Tell us immediately if you suspect unauthorized use.
  • We may refuse registration, or suspend or close accounts, that violate these Terms or that we reasonably believe are fraudulent, abusive or harmful.

4. Company listings

4.1 How listings are created

Company profiles on BillerFirms are created in two ways:

  • By the company itself, when a Vendor adds or claims its listing; and
  • By our team, using publicly available business information (for example, the company's own website or public business directories), so that practices can see a complete view of the market.

Listings created by our team contain business information only. Inclusion in the directory does not mean that BillerFirms endorses, recommends or has partnered with a company.

4.2 Requests to correct or remove a listing

If your company is listed and you object to the listing, or any information about your company is incorrect, please contact us through our Contact Us form. After verifying that the request comes from an authorized representative, we will correct or remove the listing within a reasonable time. You may also claim your listing for free to manage it directly.

4.3 Vendor responsibilities

If you list or manage a company profile, you confirm that:

  • all information you provide (including services, pricing, certifications, client numbers and experience) is truthful, accurate and not misleading;
  • you hold all rights to the logos, images and text you upload;
  • you comply with all laws that apply to your business, including HIPAA, the FTC Act, anti-kickback and false-claims laws, and state licensing rules; and
  • you will promptly update your profile if anything changes.

We may edit, reformat, decline, unpublish or remove any listing at our discretion, for example if it is inaccurate, incomplete, duplicated or violates these Terms.

5. No guarantee of leads, traffic or results

BillerFirms helps Vendors showcase their services through their profile page, directory visibility and website visits. However, BillerFirms does not guarantee that any Vendor will receive leads, inquiries, clients, a particular amount of traffic, a ranking position or any revenue. Results depend on many factors outside our control, including the market, a Vendor's profile, reviews and pricing.

Likewise, we do not guarantee that a practice will find a Vendor, or that any Vendor will perform as expected.

6. Rankings, badges and sponsored placements

  • Our default (“Recommended”) order is based on signals such as profile completeness, reviews, ratings and activity. We may change our ranking methods at any time, and no Vendor is entitled to a particular position.
  • Badges and tiers (for example, “Verified”, “Top Rated”, “Elite”) reflect information available to us at the time and are not a certification, endorsement or guarantee of quality.
  • Paid placements are always clearly labelled “Sponsored”. Payment for a sponsored position does not change how other companies are ranked, does not affect reviews and does not mean that BillerFirms endorses the sponsor.
  • Sponsored positions run for the agreed period on the agreed page. Performance reports (such as impressions and clicks) are provided in good faith and are estimates.

7. Reviews

  • Reviews must reflect a genuine, first-hand experience with the company being reviewed.
  • You must not post fake reviews, review your own company or a competitor, offer or accept payment or incentives for reviews, or post reviews on behalf of others.
  • Reviews must not contain patient information, personal data of others, offensive or defamatory content, or confidential information.
  • We may moderate, verify, decline or remove reviews at our discretion, including reviews we reasonably believe are fraudulent or violate these Terms. Vendors may publicly reply to reviews but may not pressure reviewers to change or remove them.
  • Reviews represent the opinions of their authors, not the opinions of BillerFirms.

8. Get Matched requests and quote requests (for practices)

  • The matching service is free for practices and there is no obligation to hire any Vendor.
  • By submitting a request, you authorize BillerFirms to share your request details and contact information with the Vendors our team selects for your request, and you agree that those Vendors may contact you about your request by email or phone.
  • Please provide accurate information and do not include any patient or protected health information.
  • We review requests manually and may decline requests that appear incomplete, false or abusive.

9. Lead auctions (for Vendors)

  • Lead auctions are available only to registered Vendors with an approved company listing.
  • Before payment, bidders see only non-identifying information about the practice. Bidders must not attempt to identify or contact a practice outside the BillerFirms process.
  • Each company may submit one bid per lead, and a submitted bid is a binding offer to pay the bid amount if the bid is selected.
  • When an auction closes, BillerFirms selects the winning bids (normally the highest bids, up to the number of companies announced). We may cancel an auction at any time before it closes, in which case no payment is due.
  • The practice's details are released to a winning Vendor only after payment is received. Lead information is provided as submitted by the practice; BillerFirms does not guarantee that a lead will become a client.
  • If a lead's contact information is clearly invalid, the winning Vendor may contact us within seven (7) days of receiving it. We will review the case in good faith and may, at our discretion, offer a replacement lead or a credit. Except where required by law, payments for leads are otherwise non-refundable.
  • Vendors must use lead information only to respond to that practice's request, must comply with applicable privacy, anti-spam and telemarketing laws, and must not resell, share or publish lead information.

10. Job board

  • Job postings must describe real, lawful positions and must not discriminate on any basis prohibited by law.
  • BillerFirms is not the employer and does not verify every employer or candidate. Job seekers should never pay an employer to apply or to be hired, and should report suspicious postings to us.
  • When you apply for a job, your application and CV are shared with that employer.
  • Closed or expired postings are removed automatically.

11. Fees and payments

Basic use of the Services is free. Certain optional services for Vendors (such as sponsored positions and lead auctions) are paid. Prices, payment terms and the scope of each paid service are communicated before purchase. Unless stated otherwise in writing or required by law, fees are non-refundable. You are responsible for any taxes that apply to your purchases.

12. Acceptable use

You agree that you will not:

  • provide false, misleading or impersonating information;
  • scrape, crawl, copy or harvest data (including contact details of companies, practices or users) from the Services, except as permitted by search-engine indexing of public pages;
  • send spam or unsolicited messages to users, or use information from the Services to build marketing lists;
  • upload or share protected health information, malware or unlawful content;
  • interfere with the security or operation of the Services, attempt unauthorized access, or overload our systems;
  • manipulate rankings, reviews, clicks, bids or analytics;
  • use the Services in violation of any law or the rights of others.

13. Your content

You keep ownership of content you submit (such as profiles, logos, reviews, job posts and CVs). By submitting content, you grant BillerFirms a worldwide, non-exclusive, royalty-free license to host, store, reproduce, display, adapt (for example, resize or reformat) and distribute that content to operate and promote the Services. This license continues for content that has been shared with others or included in backups for a reasonable period. You confirm that you have the rights needed to grant this license.

Some text on company profiles may be drafted with the help of automated writing tools from information provided by the company or available publicly. Vendors are responsible for reviewing their profiles and telling us about any inaccuracy.

14. Intellectual property

The Services, including the BillerFirms name, logo, design, software, rankings, badges and original content, are owned by BillerFirms or its licensors and are protected by intellectual property laws. Vendors may display a BillerFirms badge only in the form we provide and only while it accurately reflects their listing. Except as allowed by these Terms, you may not copy, modify, distribute or create derivative works from the Services.

15. Copyright complaints

If you believe content on the Services infringes your copyright or trademark, please contact us through our Contact Us page with: a description of the work, the location of the content on our site, your contact details, and a statement that you have a good-faith belief that the use is not authorized. We will review and, where appropriate, remove the content.

16. Privacy and data

Our Privacy Policy explains how we handle personal information. In short, we do not sell personal information, and we do not share the personal data of practices, providers or companies with third parties without their permission, except as described in the Privacy Policy (for example, sharing a practice's request with the Vendors selected for it, at the practice's request).

HIPAA: BillerFirms does not provide services that require access to protected health information and is not acting as a business associate of any user. Do not submit PHI through the Services. Any business associate agreement must be made directly between a practice and its Vendor.

17. Third-party websites and advertising

The Services contain links to third-party websites and may display advertisements from third parties, including Google. We do not control and are not responsible for third-party websites, products, services or advertisements, and a link or advertisement does not mean we endorse it.

18. Disclaimers

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, including warranties of merchantability, fitness for a particular purpose, accuracy, non-infringement and uninterrupted or error-free operation. We do not warrant that listings, reviews, rankings, prices, job postings, leads or other content are accurate, complete or current, or that any Vendor, practice, employer or candidate will meet your expectations.

19. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, BILLERFIRMS AND ITS OWNERS, EMPLOYEES AND PARTNERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL OR BUSINESS OPPORTUNITIES, arising out of or related to the Services, any content, or any dealings between users, even if we were advised of the possibility of such damages.

Our total liability for any claim relating to the Services is limited to the greater of (a) the amount you paid to BillerFirms in the twelve (12) months before the claim arose, or (b) one hundred U.S. dollars (US$100). Some jurisdictions do not allow certain limitations, so some of these limits may not apply to you.

20. Indemnification

You agree to defend, indemnify and hold harmless BillerFirms and its owners, employees and partners from any claims, damages, losses, liabilities and expenses (including reasonable legal fees) arising from your use of the Services, your content, your dealings with other users, or your violation of these Terms or any law or third-party right.

21. Disputes between users

Any dispute between a practice and a Vendor, or between an employer and a job seeker, is solely between those parties. BillerFirms may, but is not required to, help resolve such disputes, and you release BillerFirms from claims arising out of them to the extent permitted by law.

22. Suspension and termination

You may stop using the Services and ask us to close your account at any time. We may suspend or terminate your access, remove content, or cancel listings, bids or postings if you violate these Terms, if required by law, or to protect the Services or other users. Sections that by their nature should survive termination (including fees owed, licenses to content already shared, disclaimers, limitation of liability and indemnification) will survive.

23. Changes to the Services and to these Terms

We may change, suspend or discontinue any part of the Services at any time. We may also update these Terms; the “Last updated” date at the top of this page shows when they were last changed. Your continued use of the Services after changes take effect means you accept the updated Terms.

24. Governing law

These Terms are governed by the laws of the jurisdiction in which BillerFirms is established, without regard to conflict-of-law rules. Before starting any formal proceeding, you agree to contact us and try to resolve the dispute informally for at least thirty (30) days.

25. General

  • Entire agreement: these Terms, the Privacy Policy and any terms shown for a paid service are the entire agreement between you and BillerFirms regarding the Services.
  • Severability: if any provision is found unenforceable, the rest remains in effect.
  • No waiver: our failure to enforce a provision is not a waiver of it.
  • Assignment: you may not transfer your rights under these Terms without our consent; we may assign them in connection with a merger, acquisition or sale of assets.
